Youth Empowerment and Support Services (YESS) is currently seeking a qualified Full-Time Program Support Administrator, to provide support at the Youth Support Centre(YSC).


What We Do

YESS is a not-for-profit agency working with youth facing difficult realities. Based in Edmonton, our Youth Support Centre provides immediate and low-barrier 24/7 sleep support and individualized wrap-around supports for young people aged 15 - 24.

We work collaboratively within a network of care focused on the prevention of youth homelessness by providing youth with the necessary supports to stabilize their housing, improve their wellbeing, build life skills, connect with community, and avoid re-entry into homelessness.


What You Will Do

The Program Support Administrator is responsible for managing and supporting YESS Efforts to Outcomes (ETO) and Basecamp system to ensure accurate data collection, reporting, and analysis of program outcomes. This role involves maintaining system functionality, user training, and ensuring data integrity across all program areas. They are also responsible for coordinating programs, services, and outgoings for youth while collaborating with internal staff and external partners.

Shift Schedule: 4 days on 4 days off

Location: 9310-82 Avenue, Edmonton AB


Responsibilities Include:


  • Develop and maintain Efforts to Outcomes database and Basecamp
  • Provide training, technical support, and troubleshooting for staff members using the ETO system, ensuring they can effectively input and extract data
  • Compile and analyze weekly, monthly and bi-annual reports required by internal and external stakeholders
  • Collaborate with Program Leadership to analyze data and generate insights that improve program outcomes and decision-making processes
  • Develop and run custom reports to support program evaluation, monitoring, and funder reporting requirements
  • Assist in maintaining records and progress of all internal documents in preparedness for accreditation
  • Develop and maintain user guides, training materials, and system documentation to ensure consistency in system use
  • Coordinate programs and outings internally with YESS staff, ensure all affected parties are aware of any impacts on programs
  • Establish and maintain relationships with Youth Agency Collaboration Partners and external agencies and coordinate offered services and programming opportunities, including transportation of youth to services and programming offered within the great Edmonton Area using a YESS-supplied vehicle.
  • Develop, plan, schedule, implement and evaluate programming for youth
  • Provide leadership and guidance to staff, volunteers and community partners who are delivering programs to youth
  • In collaboration with the Medical Program Coordinator and Child and Youth Care Counselors, create and communicate programs and services calendar and schedule to the persons served, staff, and YAC Partners, as applicable.
  • Establish positive relationships with persons served and staff to support connecting youth with relevant, accessible, and culturally appropriate programming and services as indicated in the youth's Holistic Assessment and Case Plan/Transition Plan


Additionally, you will provide a professional level of service to donors, promote the agency in a positive manner to the outside community and share information, communicate, and collaborate with other YESS staff.

What You Bring

  • Bachelor's degree in Information Systems, Data Management, Social Services, or a related field.
    • 2-4 years of experience working with data management systems, preferably ETO
    • Strong analytical skills and experience in data analysis, reporting, and database management.
    • Excellent communication skills (written and verbal) with the ability to train and support non-technical users.
    • Familiarity with nonprofit or program evaluation processes is a plus.
    • Experience with SQL, report-building tools, and system integration is preferred.
    • Attention to detail and commitment to maintaining high data quality standards.
    • Ability to work independently and collaborate across departments
    • A minimum of one year of experience in administration/coordination/scheduling in an office setting
    • Proficient in Microsoft 365 - Excel, Word, Teams
    • Knowledge of the values, beliefs, and practices of Indigenous and other cultural and diverse groups
    • Strong scheduling and time management competencies are necessary; one must be a highly organized individual.


      Prerequisites

      • Training in first aid, and/or non-violent crisis intervention
      • Training in suicide intervention and harm reduction
      • Trauma - Informed Care Training
      • Clear Police clearance (CRIM) and a Child and Youth Intervention (CYIM) checks, both obtained within the last six months
      • Valid driver's license and driver's abstract,
      • Proof of vehicle insurance (at least $1 million third party liability)
