We are hiring for a Clerical Supervisor, Medical Imaging at Mission Memorial Hospital. This is a Full Time position.

Education, Training and Experience

  • Grade 12, successful completion of a recognized Medical Office Assistant program and three (3) years’ recent related experience, including one (1) year in a supervisory capacity or an equivalent combination of education, training and experience.

Mission Memorial Hospital is a 50-bed, local community hospital with a 10-bed hospice serving mostly its residents of Mission and surrounding communities. It provides primary acute care services including 24/7 emergency, outpatient and inpatient services, general medicine, laboratory and diagnostic services.

Detailed Overview

Provides direction and supervision of clerical staff and co-ordinates the clerical workflow of the office areas. Performs related administrative and clerical duties, as assigned.


Responsibilities

  1. Supervises designated staff by determining priorities, establishing work schedules, coordinating and reviewing work assignments and daily routines. Arranges for/calls in relief staff, as required.
  2. Participates in the selection of new staff by administering the postings, interviewing applicants and making recommendations for selection. Oversees orientation and training requirements, conducts performance evaluations, assesses and identifies ongoing staff education needs.
  3. Participates in the instruction of employees /students by assisting with departmental orientations, in-service presentations, demonstrating procedures, answering questions.
  4. Develops, implements and updates written procedures to meet the needs and requirements of the Medical Imaging Dept.
  5. Contributes to quality improvement by developing standards, conducting audits of clerical processes and compiling statistical data as required.
  6. Acts as a resource for issues related to the operation of office equipment, as well as HIS/RIS/PACS and other computer programs/systems by resolving minor problems, reporting unresolved problems and/or arranging for service by liaising with appropriate departments or resources. Provides input to system upgrade requirements.
  7. Maintains supplies and equipment by monitoring inventory levels, preparing requisitions, obtaining required approvals and recording receipts. Initiates and records office equipment maintenance/repair.
  8. Responsible for timekeeping/payroll records and submission to payroll according to established procedures. Monitors department expenditures and advises Manager of discrepancies.
  9. Provides clerical liaison with radiologists, supervisors, staff, physicians, external agencies and other healthcare personnel/hospitals. As required, schedules and adjusts patient appointments, liaises with nursing units, physician’s offices and patients regarding patient information, records, etc.
  10. Participates in/assists to develop and maintain a safe and healthy work environment by following Health and Safety standards and practices.
  11. Schedules and leads clerical staff meetings and attends other departmental meetings, as required.
  12. Arranges meetings; types and circulates minutes, medical reports etc and performs word processing support for Medical Imaging as appropriate.
  13. Performs other related duties as assigned.

Qualifications

Education, Training and Experience


Grade 12, successful completion of a recognized Medical Office Assistant program and three (3) years’ recent related experience, including one (1) year in a supervisory capacity or an equivalent combination of education, training and experience.
