Detailed Overview

This position prepares, maintains, distributes and makes revisions to the Inpatient/Outpatient OR Surgical slates using a computerized scheduling system, subject to review by a Registered Nurse, Physician or designate. Maintains patient and surgical information by entering data into the computer and reviewing booking forms and filing other records related to booking procedures. Communicates with other surgical staff, medical offices and various hospital departments regarding surgical bookings, changes and revisions to surgical slates; inputs data into Cardiac Registry Data Base and prepares statistical reports required by the Ministry of Health.
Responsibilities

  1. Reviews surgical booking packages for completeness such as surgery/procedure to be performed, lab work, pre-admission tests, special equipment needs, surgical assists and computer documentation as per established policies and procedures.
  2. Schedules Inpatient and Outpatient Interventional procedures for Cardiac Services. Books appointments in OR slate upon receipt of request or requisition. In collaboration with the physician, assigns patients to the surgical slates according to type and expected duration of surgery.
  3. Prepares, updates and distributes surgical slates using a computerized scheduling system by gathering patient information such as patient''s name, type of surgery/procedure and attending physician.
  4. Adjusts the initial surgical slate using information such as changeover procedures, equipment requirements and staffing needs according to established procedures.
  5. Coordinates activities with the inpatient/outpatient surgical medical staff, medical offices and various departments regarding surgical bookings. Notifies appropriate areas of discrepancies or adjustments to be made to the surgical OR slate.
  6. Inputs patient information into computerized system(s); develops and maintains current computerized waiting list for outpatient surgical procedures as required; enters, reconciles and/or cancels patient information in meditech and outpatient surgical patient registry and enters surgical clarification/completion data into the electronic medical record. Monitors outpatient surgical cancellations and reschedules according to established policies and procedures.
  7. Enters patient data into the Cardiac Registry Data Base. Assists in the preparation of statistics and waitlists by running reports as required by the Ministry of Health.
  8. Reviews and maintains current records for physician vacations, on-call schedules, requests and acceptance of unused surgical blocks in order to effectively book procedures. Makes revisions to booking model and reviews bookings which have not been scheduled. Verifies and enters cancellations; re-files or returns documentation to physician offices.
  9. Maintains filing systems by performing duties such as indexing, labeling and filing materials.
  10. Performs other related duties as required.

Qualifications

Education and Experience

Grade 12 and three years' recent related experience or an equivalent combination of education, training and experience.

  • Ability to keyboard at 45 w.p.m.
  • Knowledge of medical terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal with others effectively.
