We are currently looking to fill a Casual opportunity for a Unit Clerk to support Respiratory Therapy at Royal Columbian Hospital located in New Westminster, B.C.

Detailed Overview

Performs a variety of staff scheduling, clerical and secretarial functions such as preparing and adjusting staff schedules/rotations according to established procedures; schedules and books outpatient appointments, collects patient information for registration; maintains and submits timekeeping records to Payroll; types technical and non-technical material; performs data entry of Physician billings; greets and directs patients and visitors, answers the telephone, maintains files and supplies; sends and receives fax documents and photocopies.
Responsibilities

  1. Schedules and books outpatient appointments by receiving appointment requests, making follow-up appointments, adjusting arrangements and assigning to the appropriate date, time and location. Collects patient information for registration.
  2. Maintains timekeeping records for the program(s) staff utilizing a computerized payroll system and submits to the Payroll department. Liaises with Payroll regarding inquiries and makes adjustments as required such as payroll corrections. Answers emploee payroll inquiries. Distributes pay stubs and cheques to designated employees.
  3. Allocates and calls in relief staff to fill vacancies resulting from unfilled positions such as shift changes, vacation, leaves of absence and sick leaves by performing duties such as utilizing manual staff scheduling system, processing requests in accordance with applicable collective agreements, preparing revised relief staff schedules and forwarding to the Practice Chief.
  4. Prepares and posts staff rotations and schedules for service by reviewing master rotations, transferring information, adjusting schedules to fill gaps and identifying staff shortages.
  5. Provides receptionist duties by receiving patients and visitors, providing information and directing to appropriate area; answers the telephone, directs calls and takes messages.
  6. Types technical and non-technical material such as minutes, correspondence, procedures/protocols, memos and statistical reports by transcribing from written draft; performs data entry of Physician billings and activity statistics and produces computerized reports by utilizing various software.
  7. Sets up and maintains filing systems which includes respiratory therapy outpatient records; obtains patient information, prepares patient forms and compiles patient charts for Respiratory Therapists.
  8. Receives, sorts and distributes internal and outgoing mail; maintains an office inventory of stationery, supplies and printed forms by preparing requisitions as requested; photocopies and faxes documents.
  9. Arranges meetings and appointments as directed by the Practice Chief by booking interviews, seminars, staff meetings, meeting rooms and contacting appropriate personnel.
  10. Performs other related duties as required.

Qualifications

Education and Experience

Grade 12 and four (4) years' recent related experience or an equivalent combination of education, training and experience.

Skills and Abilities

  • Ability to keyboard at 45 w.p.m.
  • Knowledge of medical terminology.
  • Ability to communicate effectively both verbally and in writing.
  • Ability to deal effectively with others.
  • Ability to organize work.
  • Physical ability to perform the duties of the position.
