We currently have exciting opportunity for a Casual OR Booking Clerk to provide support to our team at Royal Columbian Hospital located in beautiful New Wesminister, B.C.

- Prepares, maintains, distributes and makes revisions to the daily and weekly Operating Room (OR) slates using a computerized scheduling system, subject to review by a Registered Nurse.
- Maintains patient and surgical information by entering data into the computer and reviewing booking forms and filing other records related to booking procedures.
- Communicates with other OR staff, medical offices, and various hospital departments regarding surgical bookings, changes and revisions to surgical slates; prepares statistical reports to the Ministry of Health.

Detailed Overview
Reporting to the Manager, the Unit Clerk/Operating Room (O.R.) Booking Clerk performs a variety of clerical duties related to the operation of a patient care area including such duties as acting as a communication link for the Unit by transcribing and processing physician's orders; coordinating patient appointments; arranging patient tests and receiving results; preparing, distributing and making revisions to the daily and weekly O.R. slates using a computerized scheduling system. Maintains patient and surgical information by entering data information into computer, reviews booking forms, maintains and files other records related to booking procedures. Communicates with O.R. medical staff and offices as well as various hospital departments regarding surgical bookings, changes and revisions to the surgical slates. Prepares statistical reports for the Ministry of Health.
Responsibilities
- Prioritizes, processes, coordinates and transcribes physician's orders and performs necessary follow up action.
- Acts as a communication link for the Unit by contacting other hospitals and departments, including collaborating with bed booking by exchanging information related to bed availability to assist in admissions, discharges and transfers. Answers telephones; transfers calls, takes messages or answers routine enquiries. Receives patient test results. Receives visitors, provides information and directs to appropriate area.
- Schedules, books and coordinates patient appointments by receiving appointment requests, making follow-up appointments, adjusting arrangements as directed in accordance with patient and facility requirements and assigning to the appropriate time, date and location. Arranges patient tests. Maintains appointment diaries by arranging and confirming appointments.
- Reviews surgical booking packages for completeness, such as surgery to be performed, lab work, pre-admission tests, special equipment, surgical assists, and computer documentation as per established policies and procedures.
- Prepares, updates and distributes daily and weekly O.R. slates using a computerized scheduling system by gathering patient information such as patient name, type of surgery, attending physician. In collaboration with the Surgeon's office, assigns patients to the O.R. slate according to type and expected duration of surgery.
- Adjusts the initial slate according to information such as changeovers procedures, blood required and staff required to ensure effective and efficient utilization of surgical beds. Notifies respective areas of adjustments and/or changes made to the O.R. slate.
- Coordinates activities with O.R. medical staff and offices as well as various departments regarding surgical bookings. Notifies appropriate areas of discrepancies or adjustments to be made to the O.R. slate.
- Notifies Bed Management of surgeries to confirm bed allocation for inpatient admissions when the patients to be admitted exceed the established guidelines to ensure effective and efficient utilization of surgical beds
- Inputs patient information into computer and maintains current computerized surgical waiting list for surgical procedures. Monitors surgical cancellations and reschedules according to established policies and procedures.
- Assists in maintaining current records for physician's vacations, on-call schedules, requests and acceptance of unused surgical blocks in order to book procedures effectively. Makes revisions to booking model as directed.
- Adheres to surgical booking bed map guidelines.
- Maintains filing system by performing duties such as indexing, labeling and filing materials.
- Assists in preparing and maintaining statistics and waitlists by running reports required by the Ministry of Health to ensure pertinent data is shared and appropriate utilization of the Operating Room is maintained.
- Participates in creating and maintaining a safe and healthy work environment by understanding and following Health and Safety rules, regulations and practices such as fires and disasters.
- Participates in Continuous Quality Improvement activities to enrich and advance various processes through the effective use of resources to meet the needs of the customer.
- Performs other related duties as required.
Qualifications
Education and Experience
Grade 12, medical terminology and graduation from a recognized Nursing Unit Clerk program plus one year's recent related experience or an equivalent combination of education, training and experience.
