POSITION: Practice Manager

STATUS: Permanent; Full-Time

SHIFT: 35 Hours per week

LOCATION: Penticton Veterinary Hospital in Penticton, BC

CLASSIFICATION: Exempt

WAGE: Salaried

About the Position:

The practice manager is in charge of the day-to-day operations of the hospital; and is responsible for managing day to day operations of the hospital, conducting new employee orientations; hiring, training, and reviewing support staff; assuring compliance with provincial safety regulations; overseeing inventory and building maintenance; and maintaining the integrity of the medical records. The practice manager must have good reporting and observational skills to report on the status of the hospital operations and staff.

Some specific duties:

General Duties

  • Report directly and immediately to the supervisor on any emergency matters.
  • Evaluate performance against goals and suggest improvements where required.
  • Lend assistance in all administrative matters as necessary.
  • Perform any duty that may be necessary in the best interest of the hospital.
  • Assist other BC SPCA veterinary facilities as required.

Employee Development

  • Recruit, interview, and hire hospital support staff.
  • Supervise support staff and act as the direct authority regarding disciplinary procedures, discharging, and all the legal responsibilities of employment.
  • Develop and update complete and accurate job descriptions for all hospital positions in conjunction with direct supervisor and HR Department.
  • Tracks and reports on the successful implementation and maintenance of standard operating policies/procedures and related programs in the hospital and takes immediate steps to address any challenges to implementation or maintenance of these policies, procedures and programs.
  • Assure that staff members are properly trained. Training should communicate hospital goals and objectives, establish priorities, clarify the role of each employee, and provide safety education.
  • Conduct regular staff meetings to provide training, improve communication, and boost morale.
  • Plan for optimal staffing to assure maximum productivity and service and control of overtime.
  • Receive calls from employees regarding tardiness, and illness. Reassign responsibilities of absent employees or call in another employee to cover shift.
  • Maintain morale: praise, encourage, motivate, and reassure employees.
  • Mediate personnel problems.
  • Field inquiries regarding job openings and job references of former employees.
  • Maintain a thorough set of employment policies and procedures, and employee handbook.
  • Coordinate continuing education for support staff.
  • Submits all payroll information to the Human Resources department on a timely basis.

Client Development

  • Responsible for seeing that success is achieved with each client interaction with the hospital support staff.
  • Achieve optimal client satisfaction from all hospital services and staff.
  • Ensure that all clients and patients receive caring, personal service in a professional manner.
  • Promote client satisfaction and mediate client complaints when necessary.
  • Be a visible advocate for the hospital by becoming involved with community groups that influence public perception and policy.
  • Establish standards and written protocols for client communications in the practice, e.g. telephone answering, in-patients queries, reminders, sympathy cards/letters, new client introduction etc.
  • Promote customer services practices to exceed client expectations.
  • Develop marketing plan.
  • Manage media contacts.
  • Responsible for all social media accounts..
  • Develop promotional and public relations materials for practice.

Facilities and Equipment

  • Assure compliance with all provincial and federal regulations.
  • Oversee management of inventory and ordering processes.
  • Oversee the building and equipment maintenance and housekeeping standards.
  • Create and implement a plan to ensure that all physical properties, equipment, and office environments are maintained in safe working condition.

Financial Management

  • Maintain suitable procedures for controlling and valuing inventories.
  • Maintain veterinary fee schedule.
  • Manage Accounts Receivable.

Qualifications you need to have:

  • High School Diploma or higher with a CVPM designation
  • Excellent command of Cornerstone
  • Prior experience in veterinary hospital management role
  • Excellent written and communication skills
  • Motivated and confident, with great verbal and presentation skills
  • Ability to work in a fast paced environment independently or in a team
  • Analytical and a creative problem solver
  • Resourceful and has ability to develop relationships with others
  • Ability to function independently, manage multiple projects and meet deadlines.
  • Ability to travel and work flexible hours when required
