Job Summary:

The Senior Secretary will be responsible for providing administrative and clerical support to the Physician Services Manager. This will include providing oversight of the department secretaries to ensure efficient and effective workflow. The successful candidate will be supervised by the Administrative Officer Hematology/Oncology and will be required to liaise with all CancerCare Manitoba sites as well as external partners. Duties include preparation and circulation of agendas, notices and invitations for meetings, preparation for rounds or special events, scheduling and organizing meetings, recording minutes as required, overseeing grant disbursements, assigning on-call rotations, maintaining schedules, coordinating itineraries and preparing travel and expense forms, file maintenance, special projects, recruitment/orientation /of physicians, orientation and training of support staff.

Qualifications:

Required:

  • Successful completion of a recognized Administrative Training Program or an equivalent combination of education and experience as determined by CancerCare Manitoba
  • Minimum 3 years of experience in a secretarial position with 1 year recent supervisory/leadership experience
  • Excellent keyboarding skills - 50 WPM
  • Proficiency with MS Office (Word, Excel, PowerPoint, Outlook)
  • Knowledge of Medical terminology
  • Accuracy and attention to detail to ensure deadlines and requirements are met
  • Ability to work independently, as well as a part of a multidisciplinary team with support and clinical staff
  • Demonstrated leadership skills with the ability to handle difficult situations
  • Excellent organizations and problem-solving skills
  • Exceptional interpersonal and communication (written and verbal) skills
  • Ability to carry out duties in a diplomatic, firm, and tactful manner
  • Must hold a satisfactory employment record
