About the Opportunity

The Administrative Assistant plays a key role in supporting the Senior Director by managing the daily operations of their office. They handle all admin tasks, set up procedures, and act as a point of contact with other admin assistants in the portfolio and across the health authority. This role also involves leading and mentoring other admin assistants in the portfolio, ensuring consistency in processes and standards.

The Administrative Assistant also provides support to individuals, committees, or working groups as needed, and occasionally assists other members of the IPPL group. They work closely with the Executive Assistant to the Vice-President, stepping in when required, and offer support to the Executive Leadership Team. Additionally, they manage all admin needs and provide excellent service to the Senior Director’s office.

About You

We would love to hear from you if you have the following:

  • Post-Secondary diploma in a recognized office administration, business administration or secretarial program
  • Undergraduate degree is an asset
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • Minimum of 5-7 years’ of progressively responsible experience, providing administrative support and office coordination at the executive level, preferably within healthcare and within an integrated service model provided
  • Experience supporting several locations in a large organization with multiple partners and stakeholders
  • Excellent communication, interpersonal, prioritizing and organizational skills
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies.
  • Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information.
  • Competencies in other languages an asset; French preferred

Compensation and Benefits

$25.1321 – $31.6109 Hourly
