About the Opportunity

Reporting to the Director of Health Services/Site Lead, the Health Service Managers' Administrative Assistant is a key member supporting the daily operations of the Health Service Managers and provides confidential administrative support to this function as well as providing backup support to the Director of Health Services/Site Lead.


Primary responsibilities include dealing with sensitive and confidential information; supporting the Health Services Managers during the onboarding process of new staff; maintaining databases and filing systems; maintaining correspondence to the South West Nursing Staff; responding to inquiries and fielding calls as necessary; scheduling appointments and meetings; drafting agendas, recording, transcribing and distributing minutes; and performing general office duties, such as initiating and responding to e-mails, processing mail, faxing, photocopying, ordering supplies, and other related duties as assigned. The Administrative Assistant exhibits sound professional judgment and initiative while working within the framework of the Vision, Mission, and Values of Nova Scotia Health.

About You

We would love to hear from you if you have the following:

  • Post-Secondary diploma in a recognized office administration, business administration, or secretarial program
  • Minimum of 5 years' of progressively responsible experience, providing administrative support and office coordination at the senior level, preferably within healthcare
  • International Association of Administrative Professionals (IAAP) certification is an asset
  • Excellent communication, interpersonal, prioritizing, and organizational skills are required
  • Demonstrated competencies requiring advanced skills and abilities in all facets of modern office practices and technology and with information and meeting technologies
  • Experience utilizing technology in meeting planning to create efficiencies and streamline tracking and retrieval of information
  • Competencies in other languages an asset; French preferred

  • Permanent, Full-time; 75 Hours Bi-weekly

Compensation and Benefits

$23.75 - $29.73 Hourly

Successful candidates may be eligible for our benefits package which includes health, dental, travel, long-term disability, and life insurance coverage as well as a defined benefit pension plan.
