The Associate, System Strategy, Planning, Design & Implementation will be supporting multiple individuals within the portfolio at Ontario Health - Central Region in a dynamic and fast-paced environment. The Associate is responsible for organizing and supporting team activities/objectives and integrating workplans and deliverables across teams. They will be supporting the work of teams focused on equity, home care transformation and Ontario Health Teams.

Here is what you will be doing:

  • Provide coordination and administrative support.

  • Develops and coordinates business processes, workplan activities & deliverables to support key objectives of the System Strategy, Planning, Design & Implementation team.

  • Assists in developing and monitoring program workplans and project-specific schedules.

  • Develops and manages tracking and reporting processes for System Strategy, Planning, Design & Implementation team functions, including reports to Board and CEO.

  • Coordinates activities for implementation of program delivery and event planning, ensuring compliance to the requirement of internal and external standards, procedures.

  • Conducts environmental scans and literature reviews to advance portfolio level initiatives.

  • Manages logistics required to support team activities including booking virtual meetings and providing participation supports as required and maintaining records in keeping with internal policies and standards.

  • Manages and updates key contacts databases, including development of queries and reports.

  • Provides co-ordination and supports System Strategy, Planning, Design & Implementation team initiatives as required.

  • Acts as the first point of contact for internal and external calls and inquiries; triaging and tracking requests as required.

  • Produces high-quality documents and written materials to support projects and initiatives for the team and other functional areas, as required.

  • Coordinates meetings, appointments, and events as required; handle required meeting logistics.

  • Prepares meeting documents, correspondence, presentations (Power Point), report summaries, and editing reports/publications.

  • Develop, organize, and maintain electronic information filing/retrieval methods, systems, and formats to support project-based work.

  • Providing ongoing troubleshooting support for team as it relates to meeting management.

  • Other duties as assigned.

Here is what you will need to be successful:

Education and Experience

  • Post-secondary diploma in office administration or undergraduate degree in business administration or related field and/or equivalent combination of education and experience

  • A minimum of 3 years' experience in related field

  • Experience providing senior level administrative support in a health-related organization is preferred

  • Project coordination experience is an asset

  • Experience in preparing briefing notes, minutes, clear correspondence, and summaries of decisions made and further actions identified over the course of a meeting

  • Lived experience as a member of an under-served, under-represented, or BIPOC community, addressing complex equity, diversity and human rights issues is an asset

  • Extensive experience in a Microsoft Office environment is required

Knowledge and Skills

  • Understanding of the Ontario healthcare system, its stakeholders, programs and issues is an asset

  • Excellent verbal and written communication skills

  • Demonstrated initiative and the ability to work independently and within a team environment

  • Superior organizational and time management skills and able to thrive in a fast-paced environment

  • Ability to manage multiple tasks with strong attention to detail and assist multiple individuals in the presence of frequent interruptions

  • Excellent interpersonal skills and the ability to facilitate effective working relationships with internal and external stakeholders at all levels

  • Demonstrated ability to work independently and in a team

  • Strong problem-solving and decision-making skills

  • Ability to use discretion in dealing with sensitive issues and maintaining appropriate levels of confidentiality

  • Demonstrated commitment to continuous improvement principles and practices
