This position reports to the Director of Operations (Kanata Office). As the Site Coordinator at CU@Kanata, you are committed to improving our engagement with community members to further enhance the Carleton University brand in the Technology Park. You play a pivotal role as a key contact for community and industry stakeholders. You may be required to coordinate and collaborate with both internal (coop, careers, faculty members, students, association groups, Innovation Hub, and other university units) and external stakeholders (vendors, service providers, partners). In addition to performing reception tasks, administrative and event activities, you will also support our team with some communication and project work.
Some activities may take place outside of normal working hours, so work hour flexibility will be required for this position. This position works five days a week in person at the Kanata office.
The incumbent must possess the following qualifications:
• Strong organizational and administrative skills.
• Ability to prioritize and complete tasks thoroughly and within a tight time frame, while paying strict attention to detail
• Keep careful record of engagement activities, such as minutes, activity coding in databases, social media engagements, etc
• Possess excellent interpersonal skills and customer service
• Excellent written and verbal communication skills,
• Must have judgment and tact, along with the ability to interact fairly and professionally with alumni, donors, partners and members of the senior executive who request information or assistance.
• Experience supporting event planning and coordination.
• Experience providing administrative support to a team.
• Flexible work hours are required occasionally on weekends and week nights.
• Knowledge of the following software/programs are required: Microsoft Word, Outlook, Excel, and PowerPoint. Experience with Access, HTML, Banner and WordPress would be an asset.
• Experience with databases and associated research methods would be an asset.
• Knowledge of general office practices.
• Knowledge of the Kanata technology park or with the Kanata North Business Association considered an asset.
The above is normally acquired through the completion of:
• Two year college diploma in a related field
• Three years' of progressive related office administration and customer service experience, including event and/or communication support.
