Description

The Supervised Access Program Coordinator provides oversight and management of the Grey Bruce Supervised Access Program. They perform a wide range of complex and confidential managerial and clerical duties for families requiring Supervised Access services. This program offers a safe, non-threatening, and neutral environment for families who are experiencing high conflict within their custody and access.

KEY RESPONSIBILITIES:

Client Management

  • Complete initial assessment of families to determine appropriateness for program.
  • Complete and process comprehensive adult intake appointments and child orientations to the program.
  • Schedule and complete second child orientations for highly resistant visiting children.
  • Ensure safe, child focused, neutral, and non-stigmatized environments for all participants.
  • Explain clearly and concisely program policies and guidelines to participants.
  • Anticipate and solve problems in regard to high conflict families.
  • Ensure thorough and accurate documentation of all client contacts as per ministry guidelines.
  • Maintain and manage an ongoing caseload of 35+ active families.
  • Determine family eligibility for program through a formal intake process.
  • Oversee the supervision of visits and exchanges between visiting parents and children and provide direct supervision when required.
  • Manage client complaints and concerns forwarding to Corps Officer or Designate as appropriate.
  • Set up review meetings with families at once a year to support with goals and transitioning from Supervised Access services.
  • Report and document Critical Incidents and/or Serious Occurrence as per Ministry and Salvation Army policies.
  • Handle regular follow up and debrief with families from direct service reports.
  • Adhere to Court Orders and written agreements subject to center availability and policies.
  • Appear and testify in Court as required.
  • Liaise and work with the Ministry of the Ministry of Children Community & Social Services staff, local courts, and lawyers, as well as sector related community and provincial committees.
  • Ensure safety of program participants and staff with Supervised Access Best Practices.
  • Duty to report to Children's Aid Society when required.

Program Coordination and Administration

  • Ensure services are accessible, age and culturally appropriate and reflective of community needs.
  • Review and approve all observation notes, track concerns or issues and follow up accordingly.
  • Collaborate with lawyers, Judges, Probation/Parole, and CAS to ensure all relevant family documents are collected and placed into client master files.
  • Review all Court Orders, Probation/Parole, CAS and OCL documentation and put into family file for staff review.
  • Prepare and administer safety and program plans for each site.
  • Generate statistical records and approve program purchases.
  • Ensure maintenance of client records (hardcopy and database) and fee accounts
  • Maintain log of archiving and destruction of files as per Ministry guidelines
  • Complete observational/summary reports when requested and invoice accordingly.
  • Maintain ongoing correspondence with families and lawyers with formal letters.
  • All contact (written, in person, phone, email etc.) is thoroughly documented in the client management database.
  • Provide input into and review Strategic Program Plans; develop new policies and procedures following Salvation Army approval process.
  • Assist in preparation of proposals as appropriate.

Supervision

  • Participate in the hiring, orientating, training, evaluating, recognizing, supervising, and disciplining staff in consultation with supervisor and Ontario Human Relations.
  • Create staff schedules based on program needs, staffing levels and availability.
  • Submit pay roll/timesheets and mileage claims.
  • Perform annual performance appraisals (PEAC) of staff and volunteers.
  • Ensure mandatory staff training requirements are met and maintained.

Health and Safety

  • Follow safe work procedures.
  • Know and comply with all regulations.
  • Report any injury or illness immediately.
  • Report unsafe acts and conditions.
  • Participate in all training.
  • Know all hazards, including those outside own work area.
  • Know were the first aid kits and fire extinguishers are located and how to use them.
  • Participate in workplace inspections as required.

Perform other related duties as required.

WORKING CONDITIONS:

  • This is a permanent full-time position based on 40 hours per week.
  • Facilitate staff meetings.
  • Working environment is typically in the office, program room/classroom in generally agreeable conditions.
  • Ability to lift/move up to 30 pounds for set up and dismantling of equipment at each site.
  • This job requires reaching, bending, and stooping frequently, working in a standing position for periods of time.
  • Travel up to 10% is associated with this position.

Normal Hours: Hours of work Monday - Friday during administrative hours, Flexibility is required to meet program requirements; afternoon, early evening and weekend work may be required.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Completion of a formal post-secondary University Degree program of three academic years in the humanities, preferably in social work, child welfare, or family law.
  • Valid, current First Aid & CPR Certification is required.
  • Non-Violent Crisis Intervention Certification would be an asset.

Alternative combinations of education and experience may be considered.

EXPERIENCE AND KNOWLEDGE:

  • A minimum of three (3) years of prior related experience working with families in crisis focusing on domestic violence, family law, child welfare, and/or child custody disputes.
  • Valid Ontario Class "G" Driver's License, personal vehicle required and insurance, current copy of driver's abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.
  • Experience coordinating or managing social service programs.
  • Comprehensive knowledge of broad range of social issues affecting families including mental illness, substance abuse, family dynamics, separation/divorce, abuse, domestic violence, and child development.
  • Knowledge of community support services and referral sources.
  • Experience in directing and evaluating staff.
  • Experience in conflict resolution and conflict management

SKILLS AND CAPABILITIES:

  • Bilingual in English and French preferred.
  • Proficient computer skills including Microsoft Word, Excel, Power Point, Access, and Outlook Express.
  • Effective interpersonal, communication and organizational skills.
  • Ability to provide organizational and administrative leadership.
  • Team management and leadership.
  • Attention to detail, problem solving and analytical skills.
  • Negotiation, conciliation, and conflict management skills.
  • Self-motivated/disciplined.
  • Exhibit good listening skills, have strong oral/written communication skills.

  • Ability and willingness to undergo applicable screening and background checks successfully that are satisfactory to The Salvation Army, in its sole discretion (i.e., The Salvation Army Abuse Registry) and provide an original copy of a Background Check with vulnerable sector screening as required.
