Position Summary

As an integral member of the Toronto Rehab Facilities Team, the Administrative Assistant's responsibilities include: Answer phones and creating work orders, Receiving invoices, preparing invoice approval and submission, following up on the payment process to ensure expenses are paid in a timely manner, aiding with monthly expense review, maintaining a financial database including expense type, submission date, and payment date. Additionally it would require performing cross-functional duties as assigned.

Duties:

  • Answer phone calls for all TRI sites, and assist in creating and following up on work orders as needed.
  • Assist in calculates bi-weekly payroll for union and non-union staff; reconciles errors and resolves discrepancies accordingly
  • Process financial transactions, weekly reporting, processing cheque payments and credit card refunds, invoice preparation, work with finance department to request and receive payments
  • Coordinates Invoice Tracking, verifies accuracy and coordinates signatures, financial data entry, follow up on payments and invoices, processes and verifies employee expenses
  • Process month end process to Finance, reporting, tracking project costs, liaison with financial analysts
  • Maintains manual and electronic data filing

Qualifications

  • Completion of a community college diploma in Administration or Business Accounting or recognized equivalent required
  • Four years practical and related experience
  • Computer experience required; experience working in a Microsoft Windows environment required
  • Experience working in a teaching hospital preferred
  • Experience working in accounting field preferred
  • Excellent organizational skills required.
  • Excellent verbal and written communication skills required.
  • Aptitude for accuracy and attention to detail required.
  • Excellent interpersonal skills required
  • Ability to meet frequent deadlines and changing priorities required
  • Ability to work effectively and efficiently under pressure required
  • Ability to use good judgment in assessing situations
