Reports to: Program Manager, Division of Medical Oncology and Hematology
Grade: N0:04
Hours: 37.5/week
Salary: $56,882 - $71,097 per annum (To commensurate with experience and consistent with UHN compensation policy)
Status: Permanent Full Time

Position Summary

The Administrative Coordinator acts as a facilitator and resource for the Division of Medical Oncology and Hematology and external organizations on administrative matters, the principal responsibilities include: coordinating administrative activities; providing support with financial activities; ensuring the efficient and effective operation of external collaborations; working on select projects as assigned and/or requested; Performing cross-functional and/or other duties consistent with the job classification, as assigned or requested. This is a hybrid model position.

Duties

  • Organize meetings with members of external organizations and the physician lead in Medical Oncology and Hematology

  • Assist the physician lead with reports, forms and letters pertaining to external collaborations

  • Assist with Initiatives such as strategic plans and grants.

  • Assist with gathering and presenting analytics

  • Perform financial duties such annual budget planning and ongoing tracking/ projections

  • Perform ongoing organizational tasks such as creating meeting agendas, taking meeting minutes,

  • Manage communications with collaborators including regular email communication, creation and dissemination of documents

Qualifications

  • At minimum completion of a two year community college program in healthcare administration or recognized equivalent required.
  • At minimum over 4 years up to and including 6 years of practical and related experience and/or 2 years on-the-job training required.
  • Previous on-the-job computer/word-processing, database and spreadsheet software experience required; experience in a Microsoft Office environment preferred.
  • Experience working in a health care environment and teaching hospital an asset.
  • Excellent interpersonal and customer service skills required.
  • Excellent organization and time management skills required.
  • Excellent verbal and written communication skills required.
  • Ability to produce high quality and accurate work in accordance with Hospital standards required.
  • Ability to work well under pressure required.
  • Ability to use good judgment in assessing difficult situations required.
  • Ability to work independently and as a team player required.
  • Ability to perform duties in a self-directed manner required.
  • Knowledge of general office practices, procedures and standards required.
