Hours: 37.5 hours per week
Salary: $55,224 - $69,030 annually (To commensurate with experience and consistent with UHN compensation policy)
Shifts: Day
Status: Permanent Full-Time

Position Summary
Working under the direction of an Institute Co-Director, the Administrative Coordinator, Research exercises judgment and independence to provide complex administrative support services to scientists, staff and trainees. The successful applicant will also work closely with other administrative staff and UHN Research Solutions and Services Departments to resolve issues, as well as liaise with external parties such as the University of Toronto to complete other tasks as assigned.

Duties

  • Manage and maintain calendar/scheduling for Institute Co-Director
  • Coordinate, organize or plan meetings such as annual events and regular seminar series
  • Ensure efficient operation of the institute
  • Develop, organize and maintain electronic and paper filing/retrieval methods, systems or formats
  • Monitor and analyze department budgets
  • Monitor, track and manage research budgets for scientists
  • Perform clerical support functions
  • Perform cross-functional responsibilities, as required
  • Co-ordinate annual UHN/University of Toronto studentship competition (involves external communications, web applications, administration of external funding and tracking metrics)
  • Perform other duties consistent with the job classification, as assigned
  • Exercise considerable judgment and work independently in providing complex administrative support
  • Interact with senior management across multiple sites and interface with clients and vendors
  • Website management is an asset

Qualifications

  • At minimum, completion of a 3 year community college program in Administration or recognized equivalent required
  • Completion of a Bachelor's degree, preferably in business or health management, an asset
  • At minimum, over four (4) years up to and including six (6) years practical and related experience and/or two (2) years on-the-job training required
  • Excellent verbal and written communication skills
  • Excellent organizational and time-management skills
  • Ability to produce high quality work
  • Ability to maintain confidentiality
  • Ability to work independently, but also function as part of a team
  • Ability to work well under pressure and to use good judgment in assessing difficult situations
