Clerical Assistant Clinics Cardiology Admin (Job ID: 8765)

The primary role of the Clerical Assistant in an out-patient area is to provide administrative and clerical support to the daily operations within the Ambulatory clinics and labs within the Heart and Vasular Program. The scope of the position requires proficient skills related to customer service, communication and computer technology. The Clerical Assistant interacts with internal and external health care providers, staff, patients, families, and administration to provide fair, timely and equitable patient access to services.

RESPONSIBILITIES:

  • Providing administrative and secretarial support to the Clinical Leader/Manager as well as other members of the patient care team;
  • Scheduling patient appointments as well as outpatient follow-ups using state-of-the-art computer software;
  • Liaising with various hospital departments such as engineering, housekeeping, portering etc. to exchange information and to resolve issues;
  • Utilizing computer equipment and various software packages, i.e. word processing, spreadsheets, graphics, etc. to generate a variety of correspondence, reports and documentation;
  • Operating multi-line telephones, greeting and receiving visitors (patients, families, etc.) and responding to inquiries including patient safety concerns and taking appropriate corrective action.
  • Providing care within a Multidisciplinary Team.
  • Registering all incoming patients to the unit
  • Collecting unit statistics, workload measurement.
  • Manages requests in a timely manner, based on priority
  • Flexibility with working in all clinics within the program

QUALIFICATIONS:

  • Must have medical terminology certificate.
  • Graduate of a recognized office Administration program and/or an equivalent combination of education and experience required.
  • Demonstrated oral English language skills to communicate with patients and team members with the ability to operate multi-line telephones, respond to inquiries and redirect calls as appropriate.
  • Must have ADT experience
  • Knowledgeable user of Soarian Scheduling
  • Familiar with MUSE
  • Excellent communication skills
  • Excellent computer experience (Microsoft Package).
  • Must have excellent attendance record
  • Good judgment and discretion
  • Work well under pressure
  • Highly organized and efficient time manager
  • Problem solver
