DUTIES & RESPONSIBILITIES:

The successful candidate will provide administrative support to the Recovery and Reintegration Program, a new outpatient service for Transitional Aged Youth (aged 18 to 29). The role will also involve providing admin support to other programs, physicians, staff, residents and learners as needed in Outpatient Mental Health and Addictions Department. Responsibilities include payroll, ordering and managing office supplies, managing databases, providing computer support to staff, patient registration, organizing clinic appointments, serving as a communications relay person for outreach staff, organizing educational and team events, etc. The individual may be asked to provide support to special projects as required.

HOURS: Monday to Friday, 0800 to 1600 (some flex hours may be required to accommodate clinic hours).

QUALIFICATIONS:

  • Graduate of a recognized secretarial program and/or equivalent experience; university degree is preferred.
  • Minimum of 3 years recent secretarial and administrative experience, preferably in a health care setting, is an asset.
  • Proficiency with computer software modules such as MS Word, PowerPoint (producing slides and overheads), Excel, Internet, E-mail, Library Search software, etc.
  • Sound knowledge of medical and psychiatric terminology.
  • Excellent organizational skills and is able to prioritize duties in an environment with multiple demands.
  • Excellent verbal and written communication skills.
  • Excellent interpersonal skills, in both individual and team work.
  • Proven ability to work independently and coordinate busy workload.
  • Experience interacting with clients with mental illness would be an asset.
  • Previous experience recording and generating minutes of meetings.
  • Must have an excellent attendance record.
