Department: Resident Services

Position: Resident Services Scheduling Coordinator

Weekdays 3:00pm-11:00pm (75 hours a bi-weekly)

Including alternative weekends

Status: Permanent Full-time

Date Required: ASAP

This position is responsible for scheduling, payroll entry and other administrative and clerical activities for Resident Services Scheduling, including, responding to telephone calls, filing, photocopying, word processing, etc.

RESPONSIBILITIES INCLUDE (but are not limited to):

  • Develop and maintain excellent open lines of communication with staff, supervisors and managers, other departmental managers/supervisors and other staff doing replacement scheduling during off-hours.
  • Maintain employee demographic information.
  • Provide reports and information related to attendance and other Human Resources related matters, i.e., lateness, occupational health, etc. Liaise with Human Resources for selection and recruitment (internal and external).
  • Assist with respect to daily correspondence, mail, filing, and follow-up documentation retrieval.
  • Write and /or prepare correspondence, memoranda, reports and other documentation as required.
  • Participate in a variety of projects; gather and analyze data; prepare recommendations; as required.

EXPERIENCE & EDUCATION

  • Minimum Post Secondary Education required with a degree or diploma in a related field, i.e. Business Management / Administration
  • Minimum 1-2 years experience working in a scheduling coordinator or office administration role.
  • Advanced computer skills including ability to work in Word, Excel, punch card, scheduling and payroll databases.
  • Demonstrated ability to organize work to meet competing demands on time.
  • Understanding of application of collective agreements as it impacts payroll an asset.

COMPETENCIES (Behavioural & Technical Skills)

  • Excellent organizational, observational, interpersonal and communication skills (written and verbal).
  • Strong documentation skills. Able to produce reports on excel and set up systems for scheduling.
  • Ability to Multitask and Prioritize and a strong attention to detail
  • Ability to demonstrate positive and pleasant demeanor & able to handle difficult situations in a professional manner
  • Demonstrated excellent attendance record
  • Works independently as well as within a team
