Reporting to the Manager, Human Resources, this position is responsible for providing administrative support to the Human Resources team. This position encompasses a wide variety of responsibilities in an environment that is values driven and seeks to provide our internal clients and members of the public with an exceptional customer focused experience. You will be the first point of contact for HR-related queries from employees and external parties.

  • Salary: $57,919.15 - $69,159.48 annually

What will you do?

  • Creates and maintains personnel files, ensuring files are in chronological order. Files new hire documents and future items, i.e. Performance Appraisals, Employment Confirmation Letters, release of information to legal entitles, discipline letters, etc.
  • Manages HR Mailbox; responds and/or forwards emails as appropriate.
  • Coordinates new hires for Core Orientation, distributes new hire packages and authorizes NARFs as required.
  • Creates HRIS file and inputs new employee demographics and payment method following the Generally Acceptable Accounting Principles.
  • Scans appropriate on-boarding documents to Payroll.
  • Manages databases and updates HRIS as directed, i.e. change in marital status, address, phone numbers, etc. Ensures Quadrant is updated when fan-out lists are inaccurate; informs Learning & Development of requires changes, etc.
  • Ensures supervisors are informed of upcoming Performance Appraisal Due Dates by forwarding notices to managers on a monthly basis regarding probationary and annual reviews.
  • General support to HR includes distribution of fan-out lists, mail distribution, confirmation of employment letters, etc.

What must you have?

  • Completion of post-secondary education in human resources or equivalent years of experience as a HR Assistant or relevant role.
  • Demonstrated working knowledge of general office administrative processes, methods and techniques acquired through a minimum of two year’s experience.
  • General experience with HR software, such as HRIS, or HRMS
  • Good knowledge of Employment Standards Act legislation and labour laws.
  • Demonstrated ability to work with limited supervision, with proven skills in organization and time management.
  • Ability to handle sensitive and confidential information in a discreet and professional manner.
  • Superior oral and written communication and proofreading skills.

What would give you the edge?

  • CHRP or CHRL designation or working towards such
  • Fluency in French or another second language would be an asset
