Salary: $33.72 - $42.15 per hour
Status: Temporary Full Time 14 month Contract

Reporting to the Materials Management Manager the Supervisor will be responsible for the daily operation of the Materials Management Department of the West Park Healthcare Centre & UHN's Reactivation Care Centre, including leadership and direction for the Materials Management Staff, employed in STORES/RECEIVING. The Supervisor will ensure a high level of engagement with the Materials Management Manager, ensuring a first class level of Customer Service to the West Park Health Care Centre & UHN's Reactivation Care Centre tenants.

Duties

  • Responsible for the daily operations of the Materials Management Department to maximize staff efficiency and ensure efficient flow of materials with a strong focus on cart management on patient care units, while ensuring materials from Direct Purchases are delivered to requesters in a timely manner.
  • Provides on the floor supervision.
  • Demonstrates a leadership role in the orientation, maintenance, and ongoing support of the logistics system currently Tofino ensuring staff are trained and able to utilize the system effectively.
  • Collaborates with the Manager in recruiting new employees, including: assisting in interviews, selecting support staff, etc., as assigned.
  • Introduces and implements new job routines.
  • Assists in performance management responsibilities, including: motivating staff to achieve objectives, monitor progress and offering feedback, provides guidance to empower employees to meet their goals and full potential.
  • Collaborates with the Manager in conducting performance appraisals; providing on-going coaching and advice.
  • Resolves work related problems; collaborates with the Manager and appropriate Human Resources personnel in disciplining employee(s).
  • Coordinates/monitors vacation, absenteeism, overtime and leaves of absence; ensures work and vacation schedules are prepared, in a timely manner.
  • Prepares the work schedule for the department, making changes in the schedule, as necessary.
  • Prepares payroll submission for Manager to approve & submit.
  • Coordinates staff huddles, meetings and education sessions.
    Ensure the workspace is a safe & clean environment for all staff.
  • Maintain and ensure data integrity in the Tofino system including updating cart profiles.
  • Manages internal stat stores inventory including all substitutions; perform daily checks of the Distribution reports and internal picking processes.
  • Assist with the cart audit process including addition/removal of items, adjusting quota levels in consultation with customers & Top up Staff and reprinting bar code labels.
  • Oversee process between the hospital and the third party distribution center to address shipping errors by reporting & working with the distribution center to resolve.
  • Oversee the cycle counting and the year-end physical inventory count process in Stat Stores & final reporting to Materials Management Manager.
  • Performs cost-effective obligations.
  • Manages departmental resources by ensuring the most economical and productive use of resources.
  • Oversees security and maintenance of equipment.
  • Participates in the development and implementation of Departmental policies, procedures and program initiatives.
  • Participates in working groups and committee activities, as required
  • Assists the Manager with planning activities, the development of goals and objectives for support staff areas.
    Supports organizational strategies and initiatives, e.g., Clinical Expansions.
  • Coordinates and participates in professional development/education activities and programs to ensure excellence in the provision of support services.
  • Coordinates and ensures the continuing education and on-going professional and personal skills development of support staff, including: identifying, facilitating and providing opportunities for staff and self-professional/skills enhancement; participates in the orientation and training of new employees, as required
  • Provides advisory services to staff, acts as a resource person, communicates and disseminates relevant information to staff through huddles, meetings and memos.
  • Assists with Quality Assurance initiatives.
  • Assists with the collection of data with regard to those quality indicators identified by the Business Units
  • Follows up on problems or concerns in a timely manner ensuring appropriate feedback to those concerned.
  • Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
  • Must be highly innovative and self - motivated, have the ability to work under broad guidelines and set high work standards while taking the initiative to ensure organizational goals are established and met.
  • Must have strong conceptual and analytical skills with the ability to identify underlying issues, review possible alternatives, recommend a course of action and develop action plans that attain the desired outcome.
  • Must be sensitive to the needs of employees.
  • Must be able to perform under pressure and remain effective in an ever changing and challenging environment while maintaining a highly effective team.
  • Must have strong oral and written communication skills in dealing with a wide range of internal and external customers.
  • Must have a record of sound judgment in making decisions consistent with the policies, business and ethical conduct and goals of UHN.
  • Must have a high energy level with the ability to engage with significant customer and supplier requests.
  • Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contravention's of the Act, in a timely manner.

Qualifications

  • At minimum, completion of a 2 year community college program in Business or Logistics Management or recognized equivalent required.
  • Be able to supply reference to additional training or Professional Logistics Certification in relation to job experience.
  • At minimum 4 to 6 years practical and related experience and/or 2 years on-the-job training required.
