Project Manager I Heart Lung and Vascular Business Operation (Job ID: 9161)
The Project Manager I - Heart, Lung, and Vascular Business Operations will primarily support projects within respirology, including but not limited to Cystic Fibrosis, clinic operations, and other administrative projects. They will also support other projects in the Heart, Lung, and Vascular program, including revenue-generating initiatives as necessary. The role is designed for someone who is working towards the completion of their Project Management Professional (PMP) certification and who will therefore manage specific tasks that are part of a larger project or a number of small independent projects, including:
- Managing specific tasks that are part of large projects;
- Leading project implementation for small scale of the assigned projects or tasks;
- Performing project documentation and reporting;
- Ensuring quality standards are met;
- Performing corporate and other departmental tasks as assigned.
Responsibilities:
- Liaises with other department managers to obtain the vision/goal for small-scale projects;
- Conducts needs assessment for small-scale projects to facilitate defining project plans, deliverables, schedules and timelines to meet identified goals;
- Develops and manages straightforward communications and other initiatives that will advance project goals and objectives, ensuring appropriate mechanisms are in place to effectively monitor and evaluate project activities;
- Communicates straightforward project plan and project expectations, in a clear fashion, to ensure project goals can be optimally achieved, utilizing assistance of team members, as required;
- Manages straightforward/small-scale project plans to ensure projects are delivered on time/on budget and in compliance with legislated requirement;
- Works closely with other departments and stakeholders and will set deadlines, assign responsibilities, monitor and summarize progress of projects and prepare status update reports;
- Manages, develops, motivates, and directs staff, while defining accountabilities to support staff achieving performance goals;
- Utilizes quality improvement processes and tools to support service provision and necessary changes required to achieve outcome improvements;
- Collaborates in the development/implementation of project charter/goals for assigned projects as directed to ensure project success;
- Identifies project improvement opportunities, within scope of authority/works with stakeholders on implementation;
- Develops straightforward reports and briefing notes to facilitate decision making;
- Works with relevant parties/stakeholders for the effective implementation of project initiatives and goals;
- Performs routine and regular day to day work activities, including filing forms, taking minutes, etc.;
- Develops and submits budgets for approval, obtaining assistance as required;
- Maintains some responsibility for planning, monitoring and allocating project budget to meet established goals;
- Ensures the appropriate use of resources financial and other resources to assure projects comes in on time and on budget, analyzing and reconciling variances from approved plan, as required;
- Requests changes to the budget that would have an impact on project budget and resources that would exceed the current allocated budget;
- Prepares straightforward financial reports and advices department managers, directors, and clinicians, on situations that may have a potential for presenting a financial risk for the project, in a timely manner;
- Monitors, analyzes, and reconciles variances from approved plan, taking remedial action to attain budgeted targets and mitigate cost overages.
Qualifications:
- Undergraduate degree required;
- One (1) to two (2) years project management experience in a health care environment an asset;
- Past experience with Epic, particularly in an outpatient setting, is preferred;
- Excellent customer service, interpersonal and listening skills with the ability to effectively interact with staff all levels required;
- Ability to produce work in accordance with hospital policy and practice required;
- Ability to work in a fast paced environment required;
- Ability to manage straightforward small scale projects independently and/or with minimal assistance required;
- Ability to interact with people from all disciplines/levels, be flexible/adaptable to change and maintain confidentiality required;
- Demonstrated commitment to and understanding of the Hospital's mission and values required;
- Some experience in facilitation, collaboration, and negotiation with multiple stakeholders an asset;
- Excellent verbal and written communication skills with the ability to communicate information/ideas in a manner that is easily understood by others an asset;
- Excellent computer skills including Microsoft Word, Excel, Powerpoint, and Outlook an asset;
- Intermediate Microsoft Visio skills an asset;
- Good presentation and negotiation skills an asset;
- Very good organizational, time management and problem solving skills with the ability to deal with situations where information is difficult to obtain, complex or ambiguous an asset;
- Detail-oriented with very good analytical skills related to proposal development/project management an asset;
- Ability to multi-task while producing high-quality work an asset;
