At the Upstream Lab, our research is driven by the desire to promote health equity and address social determinants of health. Our research focuses on four streams: 1) integrating health and social care by addressing social needs of individuals in healthcare settings; 2) population health management; 3) using data to enable proactive care, and 4) conducting trials.

We are currently looking for a full-time permanent Project Manager II to join our team to oversee PREPARED, a new initiative to improve the national response to pandemics. This position encompasses the overall responsibility for the development and implementation of strategies to execute this study, as well as general day-to-day management of the project.

Integrated within a busy, multidisciplinary team, the successful applicant will work closely with site managers across multiple hubs as part of the management team. The Project Manager II will be guided by the research steering committee, and report directly to the Principal Investigator.


Duties & Responsibilities:

Project planning and development:

  • Provide overall support of multi-site project, across multiple provincial hubs to scientist and physicians
  • · Conducts needs assessments to facilitate defining project plans, deliverables, schedules/timelines to meet identified goals, including organizing, chairing and/or meeting directly with the Principal Investigator and other relevant parties to collect relevant information and gain a better understanding of project requirements
  • · Develop and negotiate research agreements and strategic alliances with outside parties
  • · Provide training for and enforce Standard Operating Procedures (SOPs)
  • · Develop, implement, and maintain high quality clinical research procedures and processes
  • · · Provide overall support of multi-site project, across multiple provincial hubs to scientist and physicians
  • · In conjunction with the Office of Research Administration, review of all confidentiality statements, legal disclosures, and legal documents
  • · Support planning for long-term strategy of the program (projects, timelines, staffing, and resource needs)
  • · Develops, implements, and refines research protocols, processes, and documentation.

Project implementation:

  • · Ensure project goals, objectives and deliverables are met within the required timeline, proactively manage changes in study scope, identify potential risks, and devising/implementing contingency plans
  • · Support management and distribution of study recruitment funds (e.g. honorariums)
  • · Carry out duties of Principal Investigator, or co-investigator in research studies as authorized by the investigators and sponsors
  • · Liaise with investigators, administrative staff, sponsors, and clinical research staff and develop excellent communication strategies

Staff Support and Project Monitoring:

  • · Collaborates with the Research Program Manager on recruitment efforts for project, which may include resume screening, participating in interview panels and selecting candidates, to ensure the team possesses the required technical and other relevant skills to contribute to the success of the department
  • · Update the PI and study team on clinical research activities including administrative, protocol-related, data management, quality and regulatory issues
  • · Develops, maintains, and/or authorizes budgets, payment schedules, and supports financial reporting
  • · Motivates project staff to ensure accountabilities/project goals are met;
  • · Delegates responsibilities/work assignments for project staff while implementing strategies that will foster a productive work environment
  • · Monitors, and controls research regulations, quality, and guidelines, including ethical (e.g. REB submissions), and safety protocols.
  • · Utilizing information received and other relevant information as a gauge to develop straightforward reports, presentation, slides and other documents to provide updates on project progress/status, to highlight achievements/areas that requires further work and identify issues/ricks, etc.

Other:

  • · Organizing and chairing medium scale meetings, as required to provide updates on project status;
  • · Support initiation and development of research proposals and protocols and coordinate research grant process
  • · Conducts administrative and technical research and contributes to professional publications, presentations, posters, manuscript preparations, and knowledge translation products
  • · Initiates and develops respectful and collaborative working relationships with peers/associates across the Research Institute/Hospital, including peers in other health care institutions


Qualifications

  • · Minimum Bachelor's Degree in Health Science field (preferably with 5 years related research experience; Master's Degree (with 3 years related research experience) preferred
  • · PMP Certification required
  • · Three (3) to Five (5) years project management experience in a health care/research environment required; Experience with managing multi-site research projects an asset
  • · Minimum 1-2 years of supervisory experience
  • · Demonstrate relevant clinical research knowledge
  • · Demonstrated experience in facilitation, collaboration and negotiation with multiple stakeholders/service providers required
  • · Demonstrated team player with the ability to be flexible and adaptable to change required;
  • · Excellent verbal and written communication skills with the ability to communicate information/ideas, in a manner that is easily understood by others required;
  • · Excellent interpersonal and listening skills with the ability to effectively interact and collaborate with staff all levels required;
  • · Excellent problem recognition and problem solving skills required;
  • · Excellent communication (verbal/written) and interpersonal skills are necessary
  • · Excellent organizational skills to manage multiple projects in a timely manner and flexibility to adapt to changing workload
  • · Ability to deal with situations where information is difficult to obtain, complex, and/or ambiguous
  • · Professionalism and self-motivation
  • · Strong problem-solving skills
  • · Able to work independently and as part of a team
  • · Ability to work under pressure and attention to detail
