The Animal Resources Centre at University Health Network is one of the largest hospital-based program in Canada to support research in a multitude of human diseases across the UHN hospitals and research institutes. ARC operates six sites at four campuses and with one main ARC Office.

Hours:37.5 hours/week, shift 7-3pm
Salary: $31.64 - $39.55 per hour. To commensurate with experience and consistent with UHN compensation policy
Shifts: 7:00am -3:00pm
Status: Permanent Full Time

Position Summary

ARC has an immediate opening in the office for the position of Research Analyst. The incumbent will be responsible for administrative operations including but not limited to ordering from suppliers of research models, material and equipment from vendors, maintaining databases and financial analysis. The successful candidate will be expected to work collaboratively with research staff and team members and maintain detailed records. The work is conducted in a regulated environment according to standard operating procedures and regulations. Some key responsibilities include but not limited to the following.

Duties

  • Coordinate and process commercially source animal purchase request through the ARCS system on a weekly basis, including scheduling arrival with site supervisors.
  • Reviews all information on vendor's order confirmation to ensure all details are included correctly.
  • Researches and evaluates suppliers based on certain criteria.
  • Reviews and analyzes records of animals purchased, costs, delivery, and inventories to drive continuous improvement
  • Generates periodic reports for metrics for animal orders
  • Ensures regulatory compliance
  • Coordinates all aspects of Requests for Quotes (RFQs)
  • Maintains internal animal inventories by supporting strategies and processes to maintain optimum inventory levels that serve the production process, and ensure on-time deliveries
  • Communication with labs regarding delays, counter offer, health status, SOP for animals etc
  • Ensures all import requirements, ie. CITES permits, CFIA inspections, etc. are met in advance of animal arrival
  • Coordinates with broker to assist clearance at customs and border CFIA inspector
  • Ongoing communication with clinical veterinarians, clients and our safety officer
  • Ongoing communication with internal and external clients and vendors.
  • Review all documents closely and attention to detail is key.
  • Knowledge of applicable regulations, policies, and protocols
  • Reconciles invoices with the animal orders and requests for approval from ARC manager/director for RFS/SAR to process
  • Works with RFS to check clients' functional cost centers have funds for invoice payments approvals
  • Follows up with RFS and AP with any outstanding and past due invoices
  • Extracts and reorganizes data from site billing sheets for billing purposes
  • Performs cross-functional and/or other duties consistent with the job classification, as assigned or requested.
  • Works in compliance of the Occupational Health & Safety Act and its regulations, reporting hazards, deficiencies and contravention's of the Act, in a timely manner.

Qualifications

  • At minimum, completion of a bachelors degree in Science or recognized equivalent required.
  • Computer skills including at least intermediate level experience with Microsoft Office 365 programs
  • At minimum, 3 to 4 years of practical and related experience, required
  • Preference given to applicants who have experience as a veterinary/animal health technician
  • Knowledge of Policies and Guidelines of the Canadian Council on Animal Care and Animals for Research Act
  • Experience with SAP
  • Experience with PR Online
  • Excellent communication skills
  • Strong work ethic and able to maintain a professional attitude
