Research Projects Assistant Research Administration (Job ID: 8089)

The Office of Research Administration (ORA) provides operational support (Employment, Finance, Contracts, Grant Application and Project Management) to researchers at Unity Health Toronto (Unity). Unity is made up of three sites, St. Michael's Hospital, St. Joseph's Health Centre and Providence Health Care. The ORA is seeking a full-time Research Projects Assistant to join their team. The primary role of the Research Projects Assistant is to support various ORA functions including providing administrative, organizational, and project support primarily to the contracts and employment team. The role requires excellent organization, time management, and daily communication both internally and externally. This is a temporary contract for 6 months with the possibility of extension.

Staff in the ORA are primarily working from home with the option to work on site if preferred by the employee. The occasional on-site days may be required for training or development by the employer. In the ORA we strive to maintain work-life balance for our employees by offering flexible and remote working arrangements, with a focus on productivity where workload is reviewed regularly. The network over the past few years has prioritized mental health for its employees.

The ideal candidate is someone that is interested in the business side of how research works in a hospital setting. This position is an entry level position and could be a stepping stone to other positions within Unity Health Toronto.

Staff in the ORA are working primarily from home with some monthly on-site team days. In addition to this some positions in the ORA require staff to be on site operationally for certain aspects of their job duties (e.g., events). This position will be required to come on site to provide support for onsite events. Furthermore, during the training period the successful candidate may be required to come on site for training. The ORA offices are currently located near the St. Michael's Hospital site in the Li Ka Shing Knowledge Institute.


Duties

  • · Will work closely with the Research Contracts Coordinator and will assist with
    • opening, assigning, and sending out contracts
    • shared email inbox management and tracking
  • Will work closely with the Research Employment team and will assist with
    • reviewing and submitting research job postings
    • shared email inbox management and tracking
    • responding to volunteer inquiries
    • supporting volunteer registrations
    • updating the research website as required
  • Manager and Projects Support
    • Calendar management and scheduling support for manager
    • Administrative support to various operational projects; completing templates, managing lists, creating forms, preparing presentations etc.
  • Payroll Support when required
  • Assists with any other duties and responsibilities assigned

    Knowledge

    • Minimum College Diploma or equivalent combination of experience and education (university degree or college diploma in business related field is an asset)
    • Minimum 1 year office and coordination experience in operations
    • Preferably experienced and interested in a healthcare setting/research operations
    • "Tech Savvy" (knowledge of Excel, editing pdfs, Adobe Sign and ability to clearly communicate and troubleshoot with PI's/researchers experiencing tech issues (re: Adobe Sign))
    • Knowledge of Word Press an asset
    • Experience working with data and creation of graphs
    • Strong interpersonal skills
    • Demonstrated ability to work independently and collaboratively with others
    • Excellent organizational skills
    • Excellent written and verbal communication skills
    • Excellent Time management and organizational skills
    • Ability to exercise good judgment
    • Excellent customer service experience and the ability to remain professional under pressure and competing priorities.
    • High degree of attention to detail required.
    • Process driven and experience writing out and detailing processes asset
    • Adaptability to changing levels of urgency (Same day signatures, Financial Year end increased workload, last minute urgent requests).
