Duties

  • Supervise and evaluate the daily operation of support staff within the Reception, Medical Imaging Call Centre, and Booking Services areas by ensuring that shift duties are outlined, assigned, and managed
  • Participate in daily operations and support service functions as needed
  • Allocate staff resources; monitors the workflow to ensure efficiency and consistency, in keeping with departmental objectives
  • Support, encourage and provide direction to clerical staff; ensures/maintains an organized and efficient work area
  • Maintain responsibility for staff cross training to ensure the efficient operation of all assigned areas
  • Liaises with Clinical Supervisors, Site Manager, Business Intelligence, JDMI finance and IT for Decision Support to collaborate for information sharing and decision making
  • Collaborate with Managers and People & Culture in for people management responsibilities including: recruitment, performance management, up to and including discipline and termination
  • Conducts performance management responsibilities, including: active monitoring and reporting of financial and statistical performance within area, motivating staff to achieve objectives; conducting performance appraisals; providing on-going coaching and feedback
  • Monitor vacation, absenteeism, overtime and leaves of absence; ensures work and vacation schedules are prepared, in a timely manner; ensures timesheets are completed and submitted in a timely manner; etc.
  • Participates in the development and implementation of departmental standards of work, policies, operational initiatives and strategic initiatives
  • Participates in working groups and committee activities, as required
  • Assists the Manager with planning activities, the development of goals and objectives for support staff areas
  • Participates in Departmental Quality Management activities and patient experience initiatives
  • Supports staff to manage and escalate patient complaints and expedited urgent requests
  • Maintains responsibility for cost effective supply management and assists in the development of annual clerical bud

Qualifications

  • Completion or grade XII, or recognized equivalent
  • Completion of a recognized post-secondary office administration program at the diploma level
  • Three (3) years related experience in a health care setting
  • Experience working in a Microsoft Office software environment
  • Excellent problem recognition and problem solving skills
  • Excellent interpersonal and customer service skills
  • Excellent verbal and written skills
  • Effective time management and organizational skills, with the ability to set priorities for self and others
  • Ability to work as a team player and team leader
  • Ability to work effectively under stress
  • Previous supervisory experience, preferred
  • Medical Imaging experience, preferred
  • Experience with scheduling software, EPIC experience, preferred
  • Experience in quality improvement and patient experience, preferred
